1. Operator, policy and collection notices

MONARDA MEDIATIONS PTY LTD, ABN 31 679 817 639, ACN 679 817 639, operates Unpool by Monarda. Business address, privacy contact and support/complaints contact: To be advised. Use your existing safe Monarda contact arrangement until verified details are available. This policy describes handling; a concise notice must also be presented at each actual collection point. Unresolved particulars do not satisfy a complete notice for real financial collection. Real-client intake remains locked.

2. Applicability and categories

Qualified Australian advice must determine Privacy Act/APP applicability, small-business exceptions and their limits, and other professional/confidentiality duties. Small turnover or an ABN alone does not resolve the assessment. Account information includes name, email, authentication, invitations, roles and consent/notice receipts. Preparation records may include financial assets, debt, superannuation, supporting documents, sharing/version history and technical/security/audit data. Documents may reveal health, family violence, children or third parties. Minimise collection, use lawful authority and safe alternatives. Children do not register; collect information about them only where necessary and lawful.

3. Sources and purposes

Information may come directly from you, authorised practitioners or lawful third-party sources, and technical account operation. Identify relevant indirect sources and give notice where required and practicable. A co-party's submission is not permission to collect everything about you. Purposes are account administration, authorised matter preparation, working financial organisation, controlled user-directed disclosure, access/security monitoring, support, lawful duties and appropriate complaint/dispute handling. There is no live CRM import, recording/transcription or real-client AI processing. Optional processing is separately explained and selected, not bundled with required terms or marketing.

4. Recipients and role-limited access

Private uploads and notes are not automatically visible to a co-party or mediator. Approved administrative staff and allocated practitioners have separate limited authority for their tasks; administrator status alone grants no confidential clinical access. Sharing requires the exact immutable document version, named recipient, scope and separate positive action, as well as actual access eligibility. Approved recipients may be an allocated practitioner or accepted co-party only where permissions/safety allow. Verified operational providers may receive only information necessary for authorised services; lawful/compulsory disclosures may apply. Actual processors and subprocessors: To be advised. Map and approve each before transferring client information.

5. Overseas handling and APP 8

Processing/storage locations: To be advised. Verify transit, support access, logs, backups and subcontractors; an Australian storage region alone is not proof of no overseas disclosure. Where APP 8 applies, reasonable steps to ensure an overseas recipient complies with the APPs are generally required and Monarda may remain accountable, subject to statutory exceptions assessed on their facts. This policy/terms receipt is not a blanket APP 8 waiver. Reliance on informed consent or another exception requires specific lawful assessment and explanation. No Australia-only, no-training or automatic deletion promise is made.

6. Security and breach response

Existing safeguards include authentication, tenant/party separation, restricted allocations, private-by-default records, versioned permission evidence and upload quarantine with file sharing/delivery closed until genuinely verified scanning and review. They are not certification or absolute security. Where APP 11 applies, reasonable security and destruction/de-identification duties remain. Incidents require containment, assessment and escalation; eligible breaches must be notified under the Notifiable Data Breaches scheme where applicable. Assess professional/legal duties; do not presume every incident is or is not notifiable.

7. Retention, backups and provenance

Retention and backup deletion periods: To be advised. Document category-specific legal/professional needs, deletion schedules, holds, backup expiry and provider deletion evidence before client release. Source versions and permission history support provenance, not authenticity certification. Account closure or withdrawal does not necessarily erase lawful retention records or copies already held by recipients. Keep originals independently; working records are not original evidence. Unscanned files cannot be exported.

8. Access, correction and deletion

Request through your existing safe Monarda arrangement until the privacy contact is complete. Verify identity safely and proportionately, protect third-party information and provide access/correction within applicable required or reasonable timeframes, with reasons and complaint avenues for lawful refusal. Ask to correct inaccurate information, record a disputed correction or seek destruction/de-identification where retention no longer applies. Never provide another person's passwords to prove identity. An access request cannot override quarantine; consider a safe alternative.

9. Choices and complaints

Necessary account details support access; declining may prevent account creation. Missing financial records may prevent preparation but do not remove external disclosure duties. Ask about a non-platform or non-AI alternative. Withdraw optional permission prospectively through account controls or a safe request; this does not necessarily undo completed processing, lawful retention or existing copies. A collection receipt is evidence of notice presentation, not consent to every use. Privacy contact: To be advised. Complain to Monarda first through a safe arrangement; Monarda should investigate and explain reasons/review options. Where within jurisdiction, complain to OAIC; its guidance generally asks you to first complain to the organisation and allow 30 days to respond. Other legal/professional avenues may apply.

10. Changes and incomplete arrangements

New published versions preserve old evidence. Material new purposes/optional processing need further notice and permission where applicable; there is no silent retrospective permission. AI provider/model/training, fees and insurer: To be advised. These missing arrangements remain client-release blockers; legal-page publication does not enable services.

At account collection

Who collects?

MONARDA MEDIATIONS PTY LTD, ABN 31 679 817 639, ACN 679 817 639, operates Unpool by Monarda. Business address, privacy contact and support/complaints contact: To be advised. Use your existing safe Monarda contact arrangement until verified contacts are available.

Account collection now

Your name, email, authentication details, individual terms/18+ acknowledgement, notice receipt and technical/security records support your private account. Invitation/authorised role information may come from Monarda; other account information comes from you. Necessary details support access; declining prevents account creation, but you can request an alternative. These are restricted account arrangements, not public real-client onboarding. No real financial/document intake, AI processing, CRM transfer or recording is enabled.

Recipients and outstanding details

Access is role-limited; co-parties never automatically receive private records. Actual processors/subprocessors, processing/storage locations, overseas handling, retention and backup deletion periods: To be advised. These blanks do not satisfy a complete purpose-specific financial collection notice. Do not enter real client records. No Australian-only, no-training or absolute confidentiality promise is made. Future financial collection needs a complete notice at that point and independent permissions/activation; this receipt is not future collection or sharing consent.

Choices and requests

Optional AI and exact document sharing require separate positive actions; receiving this notice is not consent to them. External disclosure duties may still apply. The privacy policy explains safeguards, access/correction/deletion, withdrawal and complaints including OAIC options. Use your existing safe Monarda contact until the verified privacy contact is supplied, and do not send sensitive records to an unverified address. Legal-page visibility does not authorise real-client release.
